Visa: For the Purpose of Attending a Conference

Documents to be provided by visa applicant

  1. A valid passport with at least 2 facing blank pages
  2. One 45mm x 35mm size photograph taken within the last 6 months
  3. A completed and signed visa application form. Blank forms are available at Japanese Embassy Offices or you may use the downloadable  Visa Application Form.  
  4. Applicant’s original job letter (stating position, purpose of visit and intended length of stay including arrival and departure dates) or an original company business registration form if applicant owns his/her busines
  5. In the event that the applicant is a student, an original letter from an educational institution should be submitted
  6. Travel schedule or flight itinerary. This may be printed from the internet or be obtained from a travel agency.* Please Note: We are not responsible for tickets which are unusable due to delay or denial of visa.
  7. A recent bank statement showing sufficient funds for expenses in Japan – to be submitted if applicant is bearing the cost of their own travel expenses. *Please note that screenshots will not be accepted. The bank statement should include the following:
  • ​The name of the account holder(s)
  • The average balance over the last 3 months
  • The current balance
  • Amount and date of last transaction
  • The bank's stamp

  • A print out of transactions over the last 3 months
  • The bank's stamp
  1. A brochure of the conference
  2. A copy of attendance / participation confirmation.

Documents to be provided from Japan

[If the applicant is invited and/or is staying with a person(s) or organization(s) based in Japan, please submit items 1 & 2 below instead of item 9 above.]
  1. An Invitation Letter completed by guarantor
  2. A Letter of Guarantee completed by guarantor if they will cover the travel expenses
  3. A certified copy of the incorporation register or an overiew of the company or organization that will cover the travel expenses
  4. In the event that an individual is acting as a gurantor, an orignal job letter should be submitted
  5. When there are muliple applicants List of Visa Applicants
  6. A Itinerary in Japan
